How to write a follow-up that actually works
Most overdue payments aren’t refusals. They’re admin debt. The invoice slipped down a busy WhatsApp thread, got buried under another deadline, or stalled inside the client’s approval chain. A good follow-up isn’t about pressure; it’s about making your invoice the easiest thing on their desk to handle today.
The generator above works in three quick choices: escalation level, tone, and client details. The message updates as you type. Match the tone to the relationship: Professional for new or formal clients, Balanced for most ongoing work, Passive Aggressive only with clients you have real rapport with. The video opens on a WhatsApp chat with a client named Meera. On 28 August she asks “Can you send a few directions first?” and the freelancer sends three logo directions. She replies “Love 03. Go ahead with that one.” He answers “On it. Final files by the 1st.”
On 1 September: “Morning! Files ready?” He sends Logo_Final_v3.pdf with “All yours. Invoice attached too.” and INV26-014.pdf. She writes “Perfect. Will process this week.”
Today, nothing has arrived. He starts a follow-up and deletes it, four times: “Hi Meera, just checking on the invoice”, “Any update on the payment?”, “Sorry to bother you, but the inv” and “Hi Meera,”.
A question fills the screen: “Tired of the awkward follow-ups?” The Payment Follow-Up card from riffit.in/tools is tapped: “Write the message chasing a late payment. Pick the tone, send it on WhatsApp.”
The generator offers four levels: Gentle Nudge (1 to 3 days overdue), Firm Reminder (7 to 14 days), Final Notice (30+ days) and The Nuclear Option (60+ days, “You’re done being nice.”). Caption: “Four levels, gentle to nuclear.”
A slider runs from Professional to Passive Aggressive, and the message to Meera rewrites itself. On Gentle Nudge at Professional it says “Hope you’re doing well. Just a quick heads-up: ₹40,000 was due 3 days ago.” On The Nuclear Option at Passive Aggressive it says “Fun fact: I’ve now spent more time chasing ₹40,000 than I spent doing the actual work.” Caption: “Slide the tone to match them.”
The message is copied, with a button to open it in WhatsApp. Captions: “Copy it, or open WhatsApp” and “Or Riffit sends them (Pro).”
