It puts the deposit on a numbered document, ties it to the project, and makes the balance that follows feel routine instead of awkward.
What is an advance payment invoice
An advance invoice requests a portion of the total fee upfront, usually before or at the start of a project. The most common split in Indian freelancing is 50% advance and 50% on delivery, though 30/70 and 40/60 are just as normal for larger work.
It is a real invoice, not a request for a favour. It carries an invoice number, a date, your details, the client details, the amount, and how to pay. The only thing that makes it an advance is what it says it covers: a deposit against a larger job, not the full and final bill.

A proforma invoice is a preview. It says "this is what the job will cost if you go ahead." It is not a demand for payment and it does not go in your books as income. A client uses it to approve budget or raise a purchase order.

What an advance invoice must include
Every advance invoice should carry the same fields as a normal freelance invoice, plus two that make the advance unambiguous.
The standard fields:
- Your name or business name, address, and PAN
- The client name and address
- A unique invoice number
- The invoice date
- A clear description of the project
- Your GST number, if you have one
- How to pay: UPI ID, a UPI link, or bank account and IFSC
The two that matter for an advance:
- The label. Write "Advance Payment Invoice" or "Deposit Invoice" at the top so nobody mistakes it for the final bill.
- The balance line. State the total project fee, the advance being charged now, and the balance that will follow. A client should never have to do the maths.

Notice three things. The description says it is an advance and states the split. The note repeats the total and the balance so there is no ambiguity. And there is a due date, because an advance with no due date is a suggestion, not a term.
When to charge an advance
Charge an advance when the project is large enough that unpaid work would hurt, or when the client is new and unproven. The working rule most Indian freelancers land on is 50% upfront on anything above roughly ₹25,000, and for longer projects an advance plus milestone billing so you are never more than one stage out of pocket. The advance also does a quiet second job. A client who pays a deposit without friction is a client who will pay the balance. A client who negotiates the deposit hard is telling you something before you have done any work.
Does GST apply to an advance invoice
If you are not registered for GST, which covers most freelancers earning under ₹20 lakh a year, you do not charge GST on the advance. You raise the invoice for the deposit amount and that is it.
If you are registered for GST, advances received for services are treated differently from advances for goods, and the rules have changed over the years. This is the one part of an advance invoice worth checking with a CA for your specific case, rather than copying a format off the internet. Recording the advance so your books stay clean
On the cash basis most solo freelancers report on, the advance is income the day it lands, so log it the day it lands. If you report on an accrual basis, confirm the timing with your CA. When you send the final invoice later, it should show the total, the advance already received, and the balance due, so the two documents reconcile.
