Part Payment Receipt Format for Freelancers (With Sample Wording)

25 Oct 20266 min read

A client pays ₹4,000 against a ₹9,400 invoice and asks, "Can you send a receipt that shows the rest is pending?" That's a fair request, and it's not obvious what to write. Here's a part payment receipt format you can copy, plus the message to send with it.

The quick answer

A part payment receipt is a short document that confirms how much you received, which invoice it counts against, and how much is still due. The six things that matter most are a receipt number, the date, the amount received, the invoice it applies to, the invoice total, and the balance. If any of those is missing, the receipt starts an argument instead of ending one.

It's not a replacement for the invoice. The invoice stays open until the full amount is in.

Why a plain "received" message is not enough

Say you texted "Got the ₹4,000, thanks." Three weeks later the client remembers paying ₹5,000. You remember ₹4,000. Neither of you has anything written down that says which invoice the money was for.

A receipt fixes that in one step. It gives both sides the same number, the same date and the same balance, so the next conversation starts from what's on the page.

What to include in a part payment receipt

Keep it to one page. Here's the full list:

  1. Receipt number. A separate series from your invoices, such as RCPT-014. Don't reuse the invoice number.
  2. Date received. The day the money landed, not the day you wrote the receipt.
  3. Received from. Client or company name, as it appears on the invoice.
  4. Amount received. In figures and, if you like, in words. Use Indian grouping: ₹4,000, ₹1,25,000.
  5. Against which invoice. Invoice number and invoice date.
  6. Invoice total, amount received so far, balance due. Three lines, so nobody has to do the subtraction.
  7. Mode of payment. UPI, bank transfer, cash. Add the UPI reference or transaction ID if you have it.
  8. Your name and business name. Plus your signature or a typed name.

Sample part payment receipt

Copy this and replace the details:

PAYMENT RECEIPT

Receipt no.: RCPT-014
Date received: 18 Oct 2026

Received from: Rahul Mehta, Mehta Interiors
Amount received: ₹4,000 (Rupees four thousand only)
Mode of payment: UPI (ref. 4128XXXXXX)

Against invoice: INV26-031 dated 5 Oct 2026
Invoice total: ₹9,400
Received so far: ₹4,000
Balance due: ₹5,400

This is a part payment. The invoice remains open until the balance is received.

The line "This is a part payment" matters. It makes clear to both sides that this isn't full settlement.

What to say when you send it

Don't send the receipt as a bare attachment. A short message keeps the tone friendly and puts the balance in plain sight:

Hi Rahul, received ₹4,000 against INV26-031, thank you. Receipt attached. The balance of ₹5,400 is due by 31 Oct. Let me know if you need anything from my side.

If you want more ready-made wording for acknowledging payments, the thank-you-for-payment-received scripts cover the full-payment case.

Part payment receipt vs advance receipt

These look similar and aren't the same thing.

  • Part payment: the invoice already exists and the client pays some of it. The receipt points at that invoice.
  • Advance: the client pays before work starts, and sometimes before any invoice exists. The receipt points at the quotation or agreement.

If you take advances on projects, put the schedule in the quotation first. The post on writing a payment schedule into a quotation shows how.

GST and your CA

If you're not registered for GST, the format above is a clear record and nothing more.

If you're registered, an advance is treated differently from a part payment. GST on services can fall due when you receive an advance, before you issue an invoice, and a registered supplier is generally expected to issue a receipt voucher for it with prescribed details, including the GST rate and amount. A part payment against an invoice you have already issued normally isn't treated the same way, because the invoice already carries the GST. This post isn't tax advice. Ask your CA what your advance receipts and part payment receipts need to carry.

Record a part payment on the dashboard. The invoice stays open as Partial, and your client gets an email receipt showing the balance due.Try Riffit free

Tracking the balance without a spreadsheet

The receipt solves the paperwork. The harder part is remembering who still owes what.

In Riffit you can record a full or partial payment against an invoice from the dashboard. A partly paid invoice stays open and shows as Partial (or Overdue once the due date passes), and the invoice page shows what was paid and what's left. If you settle for less than the full amount, use Close Invoice to close it short instead of leaving it hanging.

When you record the payment, Riffit also emails your client a short receipt if their email is saved, and on Pro sends it on WhatsApp too. It shows the amount received, the invoice number, the invoice total and the balance due. It has no receipt number of its own, so if your client needs a formal receipt in the format above, send yours as well.

Riffit doesn't detect payments on its own. You tell it what you received, so always confirm the money in your bank or UPI app first.

If a client has paid less than the invoice total and you're not sure what to do next, read what to do when a client pays less than your invoice. If you want to follow up on the balance, the WhatsApp payment reminder scripts give you wording for each stage.

FAQ

A receipt number, the date received, the payer name, the amount received, the invoice number it applies to, the invoice total, the balance due and the payment mode. Add a line stating that it is a part payment and the invoice remains open.

For a part payment against an invoice you have already issued, there is no single format a freelancer must follow, and a written receipt is still the best record you can hold. If you are GST registered and receive an advance before invoicing, receipt voucher rules can apply and GST may be due on the advance, so ask your CA.

No. Use a separate receipt series, such as RCPT-014, and name the invoice the payment counts against. One invoice can have several receipts if the client pays in parts.

Yes. When you record a payment on the dashboard, Riffit emails your client a short receipt, if their email is saved, with the amount received, the invoice total and the balance due, and on Pro it also goes on WhatsApp. It has no receipt number, so send your own as well if the client needs a formal one.

Yes. Record a partial payment from the dashboard. The invoice stays open and shows as Partial until the balance is recorded. You enter the payment yourself, Riffit does not detect it.
