Retainer Invoice Format for India (With Template)

If a client pays you the same amount every month, you need a retainer invoice, and it works a little differently from a one-off bill. The two things that trip freelancers up are how to describe the period and when to send it. Get those right and a retainer becomes the most predictable income you have.

The quick answer

A retainer invoice is a recurring bill for a fixed fee, sent to a client who has agreed to pay a set amount each month for ongoing work or availability. It carries the same core fields as any invoice: your details, the client's details, a unique invoice number, and the amount. It adds one thing a normal invoice does not need, a clearly stated retainer period, for example "Design retainer, July 2026." Most freelancers send it at the start of the period, in advance, so the month is paid before the work begins.

What is a retainer, exactly?

A retainer is an agreement where a client pays you a fixed amount on a regular schedule, usually monthly, in exchange for a defined scope of work or a block of your time. A designer holds 20 hours a month for a startup. A writer commits to eight articles, whether the client uses them or not. Some consultants are just on call, and that is a real deliverable too. The point is predictability for both sides: the client knows you are available, and you know what is landing in your account on the first of the month.

Retainers are how a lot of freelancers move from feast-and-famine income to something steadier. The invoicing has to match that steadiness, which means sending the same clean document, on the same date, every single month.

Retainer invoice vs a regular invoice

A regular invoice bills for a specific piece of work that is finished: one project, one amount, one delivery. A retainer invoice bills for a period rather than a deliverable.

The description names a month, not a task. A project invoice says "Landing page UI design." A retainer line says "Monthly design retainer, July 2026."

Timing and scope change too. A project invoice goes out when the work is done; a retainer goes out on a date you set, usually the 1st. And because the fee is fixed, the invoice should say what it buys, "up to 20 hours" or "up to 8 articles," so extra work gets billed without an awkward conversation.

What to put on a retainer invoice, field by field

A retainer invoice needs the same fields as a normal one, plus a clear period and scope. Here is the full list.

Your details: your name or business name, address, and your GST number if you have one.

Client details: the client's name and billing address.

A unique invoice number: sequential, so July follows June without a gap. A broken numbering run is one of the fastest ways to look unprofessional, and it matters more on retainers because you are sending 12 of them a year. A numbering system that does not break is worth setting up once.

Invoice date and due date: the date you raise it, and the date payment is due, written as a real calendar date, not just "Net 7."

The retainer line: a description that names the period, for example "Monthly design retainer, July 2026," with the fixed fee.

The scope note: one line stating what the retainer covers, such as "Covers up to 20 hours. Additional hours billed at ₹1,500/hour."

Payment details: your UPI ID or bank details, and your payment terms.

When to send a retainer invoice

Send it in advance, at the start of the period, unless you have agreed otherwise. Billing a retainer in advance is standard because the client is paying to reserve your time for the month ahead, not to settle work already done. Raising it on the 1st, due by the 7th, means the month is funded before you start.

The one habit that makes retainers effortless is sending on the same date every month. Pick a date, the 1st is cleanest, and treat it as fixed. A retainer only delivers its main benefit, predictable income, if the invoice itself is predictable. How GST works on a retainer

A retainer is treated like any other supply of services for GST. If you are registered, add your GST number, the SAC code, and the tax split (CGST and SGST, or IGST for an out-of-state client) to every monthly retainer invoice. The SAC code reference lists the common service codes, and the 30-day registration rule after ₹20 lakh covers when you cross over. Registration becomes mandatory once your service turnover crosses ₹20 lakh a year, or ₹10 lakh if you are based in Manipur, Mizoram, Nagaland, or Tripura.

If you are not registered, which is most freelancers under the threshold, you issue a plain retainer invoice with no GST line, exactly as set out in invoicing without a GST number. You can still add your GST number later once you register. One nuance specific to advances, and it matters because this post tells you to bill ahead: GST on a service is due at the earlier of your invoice date or the date you actually receive payment. If a client's money lands before you raise that month's invoice, for example a lump sum covering several months, GST is payable from the moment you receive it, and a registered freelancer has to issue a receipt voucher for that payment, separate from the monthly invoice. The only lines that change next month are the period and the number. Everything else on that invoice can be saved once and reused for the next eleven.

Common retainer invoicing mistakes

A few errors show up again and again on retainers, and because they repeat monthly they cost more than a one-off slip.

Not stating the scope. If the invoice does not say "up to 20 hours," every extra request feels like it is included. Cap it in writing.

Skipping months by accident. Retainers are easy to forget precisely because they are routine. Missing a month is missing income you had already earned.

Reusing the same invoice number. Duplicating last month's PDF and forgetting to change the number is the easiest mistake on this list to make and the most annoying to unwind, because the client's accounts team has already filed the first one under that number and yours is now the duplicate they cannot book.

Billing in arrears without agreeing to it. Unless the client asked, bill in advance. Chasing a retainer after the month is over defeats the point.
