Creating an invoice in WhatsApp

Type one word, fill a short form, check the preview, save. What each field does and which ones you can leave blank.

Send Riffit the word new and it sends back a form. Fill it in, check what it read back, save. That is the whole thing.

There is a second way, further down this page, that skips the form entirely.

The form

Tapping Create invoice opens a form inside WhatsApp. It is one screen, and most of it is optional.

Client. A dropdown of people you have invoiced before, most recent first, with New client at the bottom. Pick New client and two more fields appear: their name, and an email you can leave for later.

What you did. The line that ends up on the invoice. "Packaging design" is enough.

Details. Optional. Use it when the client needs the breakdown and the one-liner will not do.

Qty. Optional, and it means what it says: leave it blank and Riffit uses 1. It takes decimals, so 2.5 hours is a real quantity rather than something rounded.

Rate. The price per unit. With a quantity above 1 the line total is rate multiplied by quantity, so a rate of 4,000 at a quantity of 2.5 bills 10,000.

Add another item. Ticking it opens a second item, and so on up to five. Past that, finish the invoice here and add the rest on your dashboard.

Discount. No discount, a flat amount, or a percentage.

Only two fields are actually required: the client, and one item with a rate.

What comes back

Tapping Review invoice does not save anything. It sends you a preview:

  • the client and their email
  • every line, with quantities where you set them
  • subtotal, discount, GST, total
  • when it is due, worked out from your payment terms

Then three buttons: Save Invoice, Edit, Cancel.

Edit takes you back into the parts you filled in, so a typo does not mean starting again. Nothing is stored until you tap Save.

The faster way, if you are on Pro

Instead of new, write the whole thing in one message:

Riffit reads the client, the amount and the work out of that sentence, and lands you on the same preview with the same three buttons. Shorthand like 18.5k becomes ₹18,500.

This one is Pro, and it is capped at 10 messages a day. The form above has no cap and is on every plan, including after a trial ends. Every new account gets 14 days of Pro, so you can try the sentence version from day one.

Two things worth knowing

The form is the only way to start an invoice in chat. There is no typed question-and-answer version any more. If the form does not open for some reason, Riffit hands you a link to your dashboard rather than leaving you stuck mid-conversation.

Saving is not sending. Once saved, Riffit asks how the client should get it: email, WhatsApp, or later. Picking later leaves it as a draft, and drafts brings it back.
