Payment reminders, and what each plan sends

The automatic reminder on each plan, sending one yourself once a day, and the nudge your client gets before a quote runs out.

Reminders go to your client, not to you. They are about an invoice that is still open, or a quote still waiting for an answer, and they stop the moment there is nothing left to chase.

The automatic ones, by plan

Once a day, Riffit looks at every invoice you have sent that is not yet paid in full, and works out whether today is a reminder day.

On Free, there is one: an email to your client on the due date. It is always on, and there is nothing to set.

On Pro, you get a schedule, set in Settings → Reminders:

  • Before the due date. 1, 2, 3, 5 or 7 days ahead, or not at all. 3 days is the default.
  • On the due date.
  • After it. Any of 3, 7, 14, 21 and 30 days late. 3 and 7 are on by default.

Each one goes by email and WhatsApp, to whichever of the two your client has. A master switch turns the lot off for a quiet month.

A few things hold on both plans:

  • Every reminder asks for what is still owed, so a client who paid half is asked for the other half, not the whole.
  • A client never gets two reminders about the same invoice on the same day.
  • The Free reminder is an email, so a client with no email address on file gets nothing. On Pro, a phone number is enough for the WhatsApp one.
  • Reminders stop once the invoice is paid, closed short or cancelled.

Sending one yourself

Open an unpaid invoice on the dashboard and pick Send Reminder from its menu. It goes by email on every plan, and by WhatsApp as well on Pro.

You can do this once a day per invoice. The limit is shared with the automatic reminders, so if one went out this morning, Riffit tells you how many hours are left before the next.

Quotes and contracts have a send-reminder button of their own, with the same once-a-day limit: for a quote still waiting on an answer, and for a contract still waiting on a signature.

The nudge before a quote runs out

A quote you have sent carries a valid-until date. When that date is three days away or closer and your client has not answered, Riffit nudges them on its own: by email on every plan, and on WhatsApp as well on Pro.

It goes out at most once a day, and it stops as soon as they accept or ask for changes. It never goes out for a quote that has already lapsed. Extend the date first, and the extended quote earns a fresh nudge. How validity works is in Validity, versions and revising a quote.

What reminders cannot do

They cannot tell whether you were paid. Riffit never sees the money, so a client who paid you yesterday can still get today's reminder if the invoice was not marked paid. Recording the payment as soon as it lands is what stops them.
